Additional actions taken by the courts to address this objective
BATON ROUGE CITY COURT | The court maintained a record retention schedule approved by the Secretary of State and continued to have a records division manager. The manager is responsible for maintaining the retention and destruction of court records according to this schedule. Also, periodic review of manual case files was done to ensure proper retention and accurate record information and preservation. |
CROWLEY CITY COURT | During the recent floods, there were some leaks in the Municipal Building, the building which houses Crowley City Court. The judge immediately reported the problems to City Hall, got personnel to drape plastic over the exposed filing cabinets, and moved many records boxes out of harm's way. The roof has since been "patched" and there are plans to install a new, pitched roof. All court records were saved and not damaged by the rains. |
DENHAM SPRINGS CITY COURT | The court continued to have six employees certified on the digital recorder as Certified Digital Reporters. |
HAMMOND CITY COURT | The court continued to maintain and follow its records retention plan, in accordance with the approval of the Secretary of State. |
JEFFERSON PARISH 1ST PARISH COURT | The court developed a bar-coding system to handle tracking of the service of policy agency subpoena's. First Parish Court used steno digital recording, and additional back-up via either cd/recorder to ensure there were no issues with all dialogue to be placed in the record. The clerk's office implemented a case-by-case check of a defendant's record upon receipt of newly-billed charges. Each defendant's case was checked for disposition of open records in an effort to enforce compliance upon a defendant's appearance at court.
As part of Parish Court's paperless system, signature pads continued to be used to capture the defendant's signature for acceptance of court documents. In addition, they were used to capture district attorney/defendant plea agreement information and sentencing information. As the keeper of the records, the Jefferson Parish Clerk's Office continued to follow a comprehensive records retention plan that incorporates imaging documents that are filed in connection with civil, misdemeanor and traffic cases. |
JEFFERSON PARISH 2ND PARISH COURT | Second Parish Court began an update of its digital court reporting equipment and software. |
LAFAYETTE CITY COURT | The court maintained a full-time employee to scan documents. The court scanned all traffic tickets and plans to expand scanning capacity as needed. |
NEW ORLEANS MUNICIPAL COURT | Municipal Court implemented and maintained a scanning policy. The court also continued to have a record retention policy on file with the Secretary of State. All cases handled at Municipal Court were scanned into the ONBASE system which allows the court/clerk's office to produce a duplicate original should one be needed. |
RUSTON CITY COURT | The court constructed a climate-controlled storage building to house court records. |
