Objective

3.6 To ensure that all court records of relevant court decisions and actions are accurate and preserved properly.

Intent of the Objective

Equality, fairness, and integrity in district courts depend in substantial measure upon the accuracy, availability, and accessibility of records. Although other officials may maintain court records, this objective recognizes an obligation on courts, perhaps in association with other officials, to ensure that records are accurate and properly preserved.

Additional actions taken by the courts to address this objective
4th JDC
The court and Clerk of Court continued to agree that no judge, hearing officer, or law clerk may keep a case file away from the Clerk of Court for over 10 days. It will then be brought back to the Clerk and any filings be included. It can then be checked out again if needed.
14th JDC
The court held regular meetings with the Clerk of Court to assure accurate and relevant court minutes and to assist with needs of court reporters.
16th JDC
The court provided for climate-controlled long-term storage of cassette and CD-ROM recordings of court proceedings. The court also maintained a policy regarding lawyers checking out court files and a policy allowing minute clerks access to audio recordings of court proceedings to assist in the preparation of accurate court minutes.

St. Martin Parish Family Court became completely paperless; after the original documents for that court were filed with the clerk of court, they were scanned and saved on the court’s server. Hearing officer conference documents in all three parishes were scanned, resulting in the family court offices using minimal paper or becoming completely paperless.
17th JDC
The court monitored court record accuracy, using aiSmartBench dashboard technology to check data and images.
22nd JDC
The Clerk of Court in each parish of the court's jurisdiction maintained the court records.
24th JDC
The 24th JDC and Clerk of Court's local area networks continued to be linked, providing the court with immediate access to criminal and civil records. Each record/document was digitally scanned by the clerk's office and stored on the network.
32nd JDC
The Clerk of Court continued to scan all documents at the time of filing. The judges had computer access to minutes, records, and documents filed in legal proceedings.
East Baton Rouge Juvenile Court
The court recorded hearings, archived them to an off-site server, and backed up the server daily.
