Objective

3.6 To ensure that all court records of relevant court decisions and actions are accurate and preserved properly

Intent of the Objective

Equality, fairness, and integrity in trial courts depend in part on the accuracy, availability, and accessibility of records. Although other officials may maintain court records, this objective recognizes an obligation on courts, perhaps in association with other officials, to ensure that records are accurate and preserved properly.

Additional actions taken by the courts to address this objective
BATON ROUGE CITY COURT
Baton Rouge City Court maintained a record retention schedule approved by the Secretary of State. The court continued to have a records division manager responsible for maintaining the retention and destruction of court records according to this schedule. The court performed a periodic review of manual case files to ensure proper retention and accurate record information and preservation.
JEFFERSON PARISH 1ST PARISH COURT
The court maintained a bar-coding system to track service of policy agency subpoenas. First Parish Court continued steno digital recording, and additional back-up of either cd/recorder to ensure there were no issues with all dialogue placed in the record. The Judicial Clerk's Office implemented a case-by-case check of a defendant's record upon receipt of newly-billed charges. Each defendant's case is checked against open records in an effort to enforce compliance upon defendant's appearance at court. With the Parish Court paperless system, signature pads are used to capture the defendant's signatures for acceptance of court documents. In addition, they are used to capture District Attorney/defendant plea agreement information and the judge's sentencing information. As the keeper of the records, the Jefferson Parish Clerk's Office has a comprehensive records retention plan that incorporates imaging documents that are filed in connection with civil, misdemeanor and traffic cases.
JEFFERSON PARISH 2ND PARISH COURT
Jefferson Parish Second Parish Court completed the updating of its digital court reporting equipment and software. Initial training is complete and assistance and support are available if needed.
KAPLAN CITY COURT
The court reviewed all civil minutes and published criminal minutes of outstanding warrants in the local newspaper.
LAFAYETTE CITY COURT
The court continued to employ a full-time employee devoted to scanning documents. The court scanned all traffic tickets and began to scan all documents in civil cases. The court will expand scanning in the future as needed. The court began implementing a process to allow scanned documents to be viewed in the courtroom during hearings.
NEW ORLEANS MUNICIPAL AND TRAFFIC COURT
Municipal and Traffic courts consolidated and transitioned to a new case management system (the same system used by the former Traffic Court).
